PRIVACY INFORMATION

Your people. Your videos. Your Wave.

We use your clips to make your Wave, and we ask separately before featuring them publicly.

What information do we collect?

To arrange your Wave, we collect the organiser’s contact details, the recipient’s name, chosen prompt, dates and information needed to make and deliver the video.

Contributors provide their clip and permission for its use in the Wave, including confirmation of permission for other people and children appearing. We keep a record of that agreement. Optional reminder requests are recorded separately, using your email address and request status to manage the one reminder and any cancellation.

We also receive information people choose to send in feedback or reviews. Our website and providers process visitor information such as IP addresses and browser details when delivering pages, recordings, fonts and review widgets.

Who can see your clips and finished Wave?

Wavellama needs access to the clips to put the Wave together. The finished Wave is sent to the organiser for the recipient. Before recording, contributors agree to their clip being included and confirm permission for anyone else appearing, including parent or guardian permission for children. The organiser and recipient should ask everyone’s permission before sharing it more widely. Any earlier agreed sharing limits still apply.

Contributors can contact hello@wavellama.com to ask for limited sharing or request removal. Previously recorded group-only requests remain in force. We apply that request to the whole finished Wave and any previews. The organiser and recipient receive the restriction without being told who requested it. People who receive a downloaded video can save or forward it. The sharing preference communicates your wishes; it cannot technically prevent copying.

Submitting a clip does not give permission for Wavellama to publish it. Featuring footage on the Wave Wall or in public content needs separate permission; customer submissions are not automatically published.

What happens when children take part?

Only include children with permission from their parent or legal guardian. An adult should manage a contribution involving children. Before recording, the contribution-page agreement asks you to confirm parent or guardian permission for children shown; this is part of the same agreement, not a separate checkbox.

Include only what you are comfortable sharing, and respect the child’s wishes. Permission for this Wave is separate from permission to feature a clip publicly.

The services behind your Wave

We use the following services to make and deliver your Wave. Each handles the information needed for its role; not every service receives your clips.

Recording: VideoAsk collects clips, sound and details contributors submit, together with technical information needed to run the recorder. VideoAsk privacy information.

Editing and storage: These services help us assemble, store and deliver the Wave. They handle clips, audio, editing projects, preview videos and finished-video files.

Website hosting and delivery: These services run the website, store submissions and service records, and deliver pages, fonts and media. They handle submitted details and technical visitor information, such as IP addresses, browser details and page requests.

Email: Email services handle contact addresses, service-message content and delivery records to send Wave updates and requested reminders.

Reviews: Senja collects reviews and displays approved reviews. It handles review content, details supplied by reviewers, and relevant visitor and usage information when its forms or widget load. Senja privacy information.

How long do we keep videos?

This policy applies to Waves delivered from 4 November 2026.

We keep video files for 7 days (168 elapsed hours) after delivering the finished Wave to the organiser, to allow time to download it, check it and request any corrections. Please request corrections promptly so they can be resolved before the deletion deadline.

By the deletion date and time shown in your delivery message (labelled UK time, GMT or BST), we manually delete accessible contributor recordings, downloaded clips, editing copies, attached preview copies and our finished-video copy from the locations we control.

Please download and save your Wave before that deadline. After deletion, we won’t be able to resend or edit it.

Copies already downloaded by the organiser, recipient or others remain with them. Providers may retain residual backup copies under their own deletion schedules; deleting our accessible copies does not prove that all provider backups are immediately erased.

We keep limited permission and administrative records separately. Contact hello@wavellama.com with your Wave reference if you have a question or would like to request earlier removal.

How can someone request removal?

Email hello@wavellama.com with the Wave reference, or enough information to identify the Wave and your clip. You do not need to attach the video. Tell us whether your request concerns a clip, contact details or public footage.

You can ask to withdraw permission for future use of your clip, cancel a reminder, or request removal of your clip or stored details. We’ll review the request and explain what can be removed from the services and copies we control. We can stop future use of copies we control, but cannot recall a finished video or other copies already saved or shared by others.

How do reminders work?

Reminders are optional and separate from permission to contribute. You can continue without an email if you do not want reminder emails. Choosing reminders does not add you to a marketing list.

On the current contribution pages, selecting “Email me one reminder” requests one reminder before the displayed submission deadline, for that Wave only. During our pilot, Wavellama sends requested reminders manually. Each person who requests one receives one reminder before clips close.

After requesting a reminder on the current contribution page, you can use “Cancel my reminder” in the confirmation, or email us to stop. The organiser’s reminder choice is collected separately on the Create form.
